Student registration procedure for projects requiring a compliance review

The purpose of this process is to ensure that research projects requiring a compliance review for ethical, environmental or other considerations are reviewed and authorized prior to the start of the research.

When submitting the Research Subject Identification Form, the student and supervisor must indicate whether the project is likely to require a compliance review. If so, the student should contact the designated coordinator to initiate certification procedures.

A compliance review is required for research projects involving:

  • human participants;
  • animals;
  • data or material collected from humans;
  • controlled technology or goods (e.g. military equipment or technology).

During the process, research credit enrolment limitations apply:

When submitting the Research Subject Identification Form, if the project is deemed potentially subject to a compliance review, the student may register for up to a maximum of:
  • thesis: 15 credits
  • dissertation: 0 credit
  • 15-credit project: 0 credit
  • 9-credit project: 0 credit
  • 6-credit project: 0 credit
After having contacted the designated coordinator to begin the certification process with the DRTT, the student may register for up to a maximum of:
  • thesis: 30 credits
  • dissertation: 9 credit
  • 15-credit project: 6 credit
  • 9-credit project: 0 credit
  • 6-credit project: 0 credit
Once a decision has been made (certificate or exemption) the credit limit is waived:
  • thesis: 75 credits
  • dissertation: 30 credit
  • 15-credit project: 15 credit
  • 9-credit project: 9 credit
  • 6-credit project: 6 credit

  1. After completing the DGA1031 course, the student must complete the Research Subject Identification Form. At this point the student must indicate whether the project is likely to involve a compliance procedure.
    • If such a possibility is indicated, the student’s registration file will be limited to 15 research credits;
    • The student will be advised by the Graduate Studies Office to initiate the compliance procedure with the designated coordinator.
       
  2. Once the student has initiated the compliance process with the designated coordinator, the Graduate Studies Office will be notified and the research credit limit will be increased to 30.
     
  3. Upon completion of the compliance procedure and when a decision has been made, the Graduate Studies Office will be notified and the credit limit will be waived.
     
  4. If, at the end of 30 research credits, the procedure has not been completed or no decision has been made:
    • The designated coordinator will assess the situation and may allow additional credits to be registered. The designated coordinator will notify the Registrar’s Office by email and the registrar officer will be able to complete the registration manually.
    • For the student, the registration will remain blocked in Cheminot until the final decision is made and forwarded to the Graduate Studies Office.

  1. At the Master’s level, the student must submit a Research Topic Identification Form before registering for research credits. At this point the student must indicate whether the project is likely to involve a compliance procedure.
    • If the student indicates such a possibility, a block on registering for research credits will be maintained until the student has initiated the compliance procedure with the designated coordinator.
    • The student will be advised by the Graduate Studies Office to initiate the compliance procedure with the designated coordinator.
       
  2. Once the student has initiated the compliance process with the designated coordinator, the Graduate Studies Office will be advised, and the student will be allowed to register for a number of credits within the following parameters:
    • Master’s degree with dissertation: the student may register for up to 9 research credits.
    • Master’s degree with a 15-credit project: the student may register for up to 6 research credits.
    • Master’s degree with a 6- or 9-credit project: the student will not be able to register for any research credits.
       
  3. As soon as the compliance procedure has been completed and a decision has been made, the Graduate Studies Office will be notified and the credit limit will be waived.
     
  4. If, at the end of the allowable enrolment credits, the procedure has not been completed or no decision has been made:
    • The designated coordinator will assess the situation and may allow enrolment in additional credits. The designated coordinator will notify the Registrar’s Office by email and the registrar officer will be able to complete the registration manually.
    • For the student, the registration will remain blocked in Cheminot until the final decision is made and forwarded to the Graduate Studies Office.
