Dissertation or thesis – formatting check list

Summary of visual presentation standards

Before submitting your dissertation or thesis for the layout review, please ensure that all of the following points are in compliance with the requirements established by the Dean of Studies office. Please consult the Dissertation and Thesis Drafting Guide for detailed information. 

Please note that the layout review does not constitute a linguistic review. The student is responsible for ensuring the linguistic quality of the document.

Consistent layout

The presentation must be consistent and uniform throughout the document. You can use available templates.

Top margin: 3.81 cm (1.5"). Bottom margin: 1.90 cm (0.75").

Alternate odd (front) and even (back) pages for the left and right margins.

Front: Left margin: 3.81 cm (1.5"). Right margin: 1.90 cm (0.75").

Back: Right margin: 3.81 cm (1.5"). Left margin: 1.90 cm (0.75").

Page numbers are located alternately at the top right (front, odd number) or at the left (back, even number). Top margin : 2 cm (.75"); Header: 2.5 cm (1").

Preliminary pages: The page number is indicated in Roman numerals in the upper right corner (front) and in the upper left corner (back); it does not include a period, dash, hyphen or slash.

Body of the document: The page number is indicated in Arabic numerals in the upper right corner (front) and in the upper left corner (back); it does not include a period, dash, hyphen or slash.

Each new preliminary page and title page begins on a right-hand page (front) that is counted but not paginated. 

Times New Roman 12 point or CG Times 12 point or Arial 11 point.

Use only one font for the entire document, and condensed type will not be accepted.

The line spacing for the text of the body must be one and one-half (1.5), and paragraphs must be separated by one line. Do not allow an orphaned line to appear at the bottom of a page. Move it to the next page.

Preliminary pages

Page counted (lowercase Roman numerals), but not numbered.

Varies with information presented.

Title, abbreviation of diploma, copyright (select one of the templates, the same must appear on the following page) are presented in lowercase and are centered. 

All other information is in uppercase and is centered.

Select only one licence, the same as the one on the cover page.

Summary of visual presentation standards of tables, figures, algorithms, equations

Consistent layout

Ensure that all figures, tables, and algorithms have a consistent presentation throughout the document.

Numbered using the decimal system, referencing chapter and sequential order (E.g.: Table 1.1 = Chapter 1, first table).

Tables in the annexes are numbered with the word “Table” followed by the letter A, the Annex’s Roman numeral, and order of appearance (e.g., Table-A II-1).

The two lines of the title are single-spaced.

If necessary, the table source will be indicated below the table title (a single return).

Table data is normally entered with one and a half lines. However, it can also be entered with single lines if this allows the table to fit on one page.

Main title: Table (Initial capital) followed by the chapter number and sequentially assigned number then the title.

The title is centered above the table, not boldface, and no period. 

A table should ideally fit on a single page. 

If the table is presented on two pages (or more), the column headings should be repeated on each page.

When a table exceeds two pages, it is advisable to present it in an annex. 

Numbered using the decimal system referencing chapter and order of appearance (e.g.: Figure 1.1 = Chapter 1, first figure).

Figures included in annexes are numbered as described: “Figure” followed by the letter A, the Annex’s Roman numeral, and order of appearance (e.g., Figure-A II-1).

Each equation or formula must appear in italics, except for the following components: numbers, sines, cosines, tangents and cotangents.
