Electronic deposit of dissertations and theses

The final version of a thesis or dissertation must be submitted in electronic format. Here are the instructions.

Document Format

If you used Word, you must submit:

  • a Word file
  • a PDF file

If you used LaTeX, you must submit:

  • all LaTeX files necessary for the production of the thesis
  • a PDF file

The thesis or dissertation must be presented as a single file (except for LaTeX) which will henceforth be referred to as the main body. If you need help producing the required files, contact the Library.

Important Checks

  1. Ensure that all elements have been correctly incorporated into the main body of the document. For example, if you used Word, you must use the Insert/Object function instead of Linking a file. This is very important.
  2. For illustrations, the following three formats are accepted: GIF, PNG, and JPG. Images and graphics must not be compressed.
  3. Multimedia elements must not be in the same file as the main body of the document. For these elements, there are no restrictions on the types of files accepted, but the Library Service does not guarantee that these files will be accessible in the future, nor even that the necessary software for reading these files will be available. You must include on the CD-ROM or in the email a list of files other than the main body file, along with a brief description of these files.
  4. There must be no script code or executable file in the main body of the document.
  5. Given that the document will be converted to PDF/A (archiving format), if it is necessary to include hyperlinks in your text, you must enter them explicitly. For example, "The solutions are taken from the MATLAB website.
  6. Files must not be locked or protected (password, print restrictions, encryption). The "CONFIDENTIAL" marking must be removed from the first page at the time of final submission.
  7. Ensure that a "TrueType" font (e.g., Times New Roman or Arial) has been used in the main body of the document.
  8. Embed all fonts used in your document (these operations must be performed on the computer used to produce the document).

To embed fonts used:

  • From Word, click on the File tab, then on Options.
    • In the Save section, then in the Preserve fidelity when sharing this document subsection:
    • check Embed fonts in the file;
    • check Embed only the characters used in the document;
  • uncheck Do not embed common system fonts.
  • Click the OK button to close the window.

Attention:

If you used MathType and omit to include the fonts in your Word document, some equations may not display correctly, and it will not be possible to generate a PDF/A (standard for archiving PDF files).

As some fonts are protected by copyright, it is important to limit yourself to those suggested in the Writing Guide.

Converting Word Format to PDF

It is possible to obtain a PDF or PDF/A file from a docx file using Word's features. Simply save the document in PDF or PDF/A format (under File, then by clicking Save As) or use the Print function (under File, then Print) and choose the Adobe PDF printer.
